Management is a central part of a successful retirement community. Developers and Owners are often faced with a decision about how to handle facility operations. There are two options, the owners can oversee the management themselves or they can hire a management company to oversee operations. For those owners with management experience it may be worth self-management. For those without management experience hiring a management agent is almost certainly the safest and the most cost-effective choice. CCL-managed facilities promote independence, choice, dignity, privacy, and individuality of residents in a home-like environment. This is the philosophy we were founded on and this is the philosophy we stand by. In addition to our operational management services, we provide financial and property management, personnel management, quality assurance, and training to meet the needs of our clients.
Management fees charged are customarily based on a percentage of gross collections for the preceding month. Some of the areas of responsibility covered in the management agreement are as follows:
- Responsible for operations of facility including providing quality services to tenants, staff, family members, and community residents.
- Responsible for ensuring appropriate staffing to meet the needs of the tenant.
- Administer, supervise, and schedule all resident services including personnel care assistance, housekeeping, laundry, medication supervision, recreational programs, activities, and other ancillary services.
- Provide for all budgeting and accounting services. Establish a system for bookkeeping, including payroll, accounts payable, accounts receivable, general ledger, and petty cash. Provide regular financial reports and work with auditors.
- Set-up all policy and procedural guidelines for on-site staff in the day-to-day operation of the facility to include:
- marketing (e.g., sales practices, mailing list management, referral contact, and fair housing practices)
- administration (e.g., resident application and move-in procedures, adapted to meet lender compliance, landlord-tenant laws, rental agreements, bookkeeping, and resident charges)
- personnel (e.g., job descriptions, hiring, evaluation, discharge, and benefits)
- resident services (e.g., housekeeping, laundry, maintenance, food service, and ancillary services)
- property management (e.g., maintenance, rehabilitation, preventive maintenance, and general repairs)
- Maintain all licenses, certifications, and permits as required for operation including preparation for and participation in routine inspections.
- Develop a sales and marketing plan; oversee on-going marketing strategies; develop and maintain all collateral materials.
- Recruit, hire, supervise, and train staff required. Oversee compliance with staffing regulations for nurses, personal care aides, office, and other administrative staff.
- Plan, supervise, and conduct a regular plan for building and equipment maintenance and repair.
- Schedule management meetings with ownership entity and provide periodic progress reports concerning operation of the facility.
- Provide for routine on-site quality assurance inspections and conduct periodic satisfaction surveys.
- Provide for periodic on-site support and assistance for purposes of training, problem solving, program improvement, and community relations.
- Implement Trademark Programs.
